Events at SAIT

Quick facts

The following guidance, based on Government of Alberta requirements at the time of writing, is intended to guide your planning and actions associated with events at SAIT, covering the following:

Event organizers/hosts are responsible for understanding and applying these requirements, and ensuring participants are aware. Event attendees are required to follow all SAIT-stipulated COVID-19 requirements.

General requirements
  • Remote delivery of events, or events held outdoors, are encouraged over holding indoor, in-person events.
  • Food and beverages served at events must be consumed while individuals are seated or standing at a table. Buffet meals, with servers, are permitted. Self-serve meals (also known as “family-style”) using shared utensils are not permitted.
    • Food must be served by designated individuals observing proper food safety and hygiene practices.
  • Masking is required for all indoor events except when consuming food and drink.
  • Event attendees are required to follow SAIT’s Mandatory COVID-19 Vaccination Protocol
  • Off-campus, SAIT-sanctioned events require event organizers to ensure SAIT requirements are met.
  • Event attendees are required to monitor their health on the day of the event (using the Alberta Health Daily Checklist) and shall not attend the event if they are experiencing COVID-19 symptoms or are feeling unwell in general.
  • Attendees must practice proper hygiene, including frequent hand washing and good sneeze etiquette.
  • Any event with a planned attendance of 20 or more attendees must be approved by Safety and Community Services and Facilities Management. Please submit your requests to Helpline (Helpline@sait.ca); allow three business days for processing.
Year-end or holiday celebrations
  • SAIT is not sanctioning on-campus or private year-end or holiday gatherings. Any celebrations or gatherings of this type should instead be held at a commercial location that is participating in the Government of Alberta’s Restrictions Exemption Program (REP).
Indoor events related to academic programs
  • Events that are complementary to academic program objectives, but outside of regular classroom or lab activities, are permitted.
  • These events can include students and faculty from separate programs and schools within SAIT.
  • These events can also include students and faculty from other post-secondary institutions (PSI).
    • SAIT students and faculty are only permitted to host or participate in such events if the other participating PSIs have established and implemented an institutional proof of vaccination policy.
  • Compliance and enforcement of the Mandatory COVID-19 Vaccination Protocol will be accomplished through controlled access to SAIT buildings and off-campus SAIT-sanctioned events.
  • As part of the PSI sector exemption, students and faculty are not required to maintain two metres of physical distancing between participants at these events.
  • Masking is required except when seated or standing at a table while consuming food and drink.
Booths
  • Staffed booths operated by third-party vendors or employees on SAIT campuses, and those operated by employees at off-campus events of which SAIT is an official participant, are permitted.
    • Staffed booths operated on SAIT grounds outside of buildings are required to have either temporary or permanent plexiglass affixed to the booth at the point of interaction with others.
    • Booth personnel are required to wear masks.
    • If more than one individual is required to operate the booth, two metre physical distancing is required unless it will compromise the effective operation of the booth.
    • Plexiglass barriers where booth operators regularly interact with others in large numbers are required.
All other indoor events
  • These requirements apply to both on-campus and off-campus events sanctioned by SAIT.
  • The following events, with controlled access, are permitted:
    • Work-related meetings of staff and faculty, including training provided by SAIT staff and/or third-party providers.
    • Social gatherings not directly related to work or academic activities.
    • Meetings, conferences and tours of SAIT facilities involving visitors.
  • Capacity limits may apply depending on the venue; consult with your HSE Advisor.
  • Masking is required except when seated or standing at a table while consuming food and drink.
Outdoor events
  • Outdoor events are permitted and are not subject to capacity limits.
  • Two metre physical distancing between attendees is required when not part of the same cohort.
  • Masking is not required.
  • Outdoor private social gatherings among students and/or staff held on SAIT grounds are limited to 20 persons and physical distancing of two metres is required.
Food and drink served at events
  • Food and beverages served at events must be consumed while individuals are seated or standing at a table. Buffet meals, with servers, are permitted. Self-serve meals using shared utensils are not permitted.
    • Food must be served by designated individuals observing proper hygiene practices.
  • Masks may only be removed when sitting or standing at a table while consuming food and drink.
Athletics and recreation

The following are permitted indoors for adults over the age of 18:

  • Group physical activities, such as weight lifting, aerobics or sports.
  • Group performance activities, such as dance, theatre or aerials/acrobatics.
  • Group recreation activities, such as tabletop games, live-action role playing (LARP) or games involving physical interaction.
  • Individuals are not required to wear a face mask while directly participating in physical activities; this includes during team/individual sports, aerobics classes, spin classes, weight lifting and the use of fitness equipment.
    • Further to this exemption, masking is not required for participants in these activities in the gymnasium, Wellness Centre, squash courts, arena and other SAIT venues of this nature.
  • Masking is required for performance activities such as dance, theatre, aerials/acrobatics and recreational activities such as ping pong and games that involve physical interaction.
  • Masking is required of spectators, coaches/support staff and anyone else present for these activities, other than the participants themselves.
  • Service providers, such as personal trainers, coaches and instructors are permitted to offer their services both to groups and to a client in a 1:1 setting.
  • Varsity team sports, athletic competitions and performance events are permitted.
    • Spectators are not required to maintain physical distancing but must wear masks indoors.
Indoor youth activities

The following requirements apply to indoor youth activities for those aged 12 to 18:

  • Proof of vaccine/negative COVID-19 test results/medical exemption letter screening requirements do not apply to physical, performance and recreation activities when all participants are under the age of 18.
    • It is still considered a youth activity if referees, coaches, trainers, instructors and/or other officials over the age of 18 are participating.
    • Screening requirements still apply to referees, coaches, trainers, instructors and/or other officials over the age of 18.
  • Youths must be checked for COVID-19 symptoms in accordance with the COVID-19 Alberta Health Daily Checklist (For Children Under 18) prior to participation in youth activities.
  • Face masks are not required by youths during physical activities, but are required to be worn before and after.
  • Face masks must be worn by youths whenever possible during performance activities, as well as before and after.
  • Two metre physical distancing is required at all other times when not engaged in physical or performance activity.
  • Face masks must be worn and two metre physical distancing is required by youths at all times when participating in recreational activities, as well as before and after.
  • Face masks must be worn by referees, coaches, trainers, instructors and/or other officials at all times.
  • Two metre physical distancing is required by referees, coaches, trainers, instructors and/or other officials at all times.

Youth activities are out of scope for the Restrictions Exemption Program. However, if a youth aged 12 to 18 is participating in an adult REP activity, they are subject to REP requirements including providing proof of vaccine/negative COVID-19 test results/medical exemption letter. Youths aged 12 to 18 are not required to provide photo ID when being screened for a REP activity.

Indoor live music, other performance events and events held in rented spaces
  • Live music and other performance events held at the Orpheus Theatre, The Gateway or other venues (including restaurants and temporarily-licensed locations) at SAIT are permitted.
  • Masking is required for spectators, performers and event support staff, with the following exceptions:
    • Spectators, performers and event support staff are not required to wear masks when seated or standing at a table while consuming food and drink.
    • Performers are not required to wear masks during the performance itself.
  • Businesses or entities renting spaces under contract with Commercial Services are required to operate under the applicable requirements of the Restrictions Exemption Program and are responsible for maintaining controlled access to the space being rented.
