The Content Management System is facilitated and managed by the Marketing and Communications Systems division within the Marketing Department.
Access and training can be provided to content contributors across campus, depending on job requirements, update frequency, and experience level.
Requesting CMS access
Content Contributors are responsible for maintenance updates to pages and assets within the website that pertain to their department or division within the organization. All edits or updates to sait.ca (including _sait.ca/news, _sait.ca/events, etc.) will go through a workflow review process managed by the Digital Strategy team. If large-scale updates are required, a member of the Digital Strategy team will assist.

Request parameters
Before requesting access, consider the following:
- You, or the employee, will be given the time and resources to make updates on an ongoing basis, and this work becomes part of your/their regular work responsibilities week-to-week. Employees should not be making site updates “off the side of their desk.”
- Contributors should be active within the CMS at least every other week to maintain their knowledge and comfort level with the system.
- It’s strongly recommended that the employee has prior experience or an established comfort level writing for websites, blogs, social media or other digital platforms.
- The employee is willing and able to attend mandatory CMS training sessions and meetings.
- There is another employee within the team who can act as a backup to accommodate leave or vacation. The second team member should also be listed on the request for access and attend mandatory training sessions and meetings.
Submitting a request
To request access for one or more team members, see become a content contributor.
A member of the Digital Strategy team will follow up within five (5) business days. If the request for access and training is approved, a training session will be scheduled at which time access to the CMS will be granted.
Content contributor membership and access will be reviewed if:
- The contributor hasn’t logged into the CMS for 90 days (unless an exception has been made in advance, such as an employee's leave).
- The contributor does not follow the processes and procedures laid out for website updates.
Content contributor access will be revoked in the case of one or more of the following terms:
- The contributor attempts to post content or media assets that are offensive, discriminatory, or defamatory to SAIT, the SAIT brand and the community.
- The contributor repeatedly disregards the web management processes and procedures, despite multiple reminders and offers of training refreshers.
- The contributor has had a change in role or responsibilities that no longer requires them to update content or communicate information on the SAIT website.
- The contributor is no longer an employee of SAIT.
If a team member changes roles or leaves SAIT, it is the manager’s responsibility to inform the Digital Strategy team of these changes via site.feedback@sait.ca. If access and training are required for a new team member, arrangements can be made at that time.
Training
Once a content contributor has been approved, they will be provided with training and additional support by a member of the Digital Strategy team.
Depending on the contributor’s role, department and prior experience, training will be tailored to the user on one or more of the following sites.

*Editor access for front-facing content only. Updates to any internal system information on the LLL platform must be requested through the Continuing Education department.
Workflows
All content updates submitted by contributors must be approved through the integrated workflow. This approval process acts as a final review and a QA check for pages before they are published to the live site.
In the event of errors or quality assurance issues, content contributors will be contacted prior to changes being approved.

Site approvers have the authority to modify page layout to enhance information architecture and UX. They will not alter the information itself, except to correct spelling, grammar, or redundancies in the information.
